Job Summary:
The College Registrar oversees and maintains student and College records, administers the course
registration process, and confirms students’ fulfillment of matriculation, graduation, and other academic
requirements.
Supervisory Responsibilities:
• Oversees the daily workflow of the Registrar’s Office
• Conduct performance evaluations that are timely and constructive.
Duties/Responsibilities:
• Administers and oversees all functions of the Registrar’s Office.
• Implements processes and procedures for course scheduling and enrollment.
• Oversees and implements processes for the secure maintenance of all academic records by
applicable privacy and data security requirements.
• Drafts policies and implements processes for recording and tracking students’ course enrollment,
completion, and final grades; fulfillment of matriculation and graduation requirements; and
requests for transcripts and other records.
• Compiles reports of statistical data regarding enrollment, graduation, and other metrics at the
request of other College staff.
• Collaborates with academic deans to determine and periodically review course requirements for
enrollment in courses and completion of each degree program.
• Prepares, implements, and monitors annual budget and department expenses.
• Maintains current knowledge of applicable data security and privacy laws and emerging
technology; recommends system improvements and policy changes as necessary to ensure
continued compliance with legal standards and best practices.
• Performs other related duties as required.
Required Skills/Abilities:

Education and Experience:
• Master’s Degree in Business Administration, Computer Science, or related field required.
• At least five years of experience in college-level administration.

A college ombudsman (or ombudsperson) is an independent, impartial, and confidential official authorized to receive complaints, concerns, or inquiries from students, faculty, and staff. They serve as a neutral party to facilitate the informal resolution of conflicts, promote fair treatment, and identify systemic issues within the institution.

Core Principles

According to the International Ombudsman Association (IOA), the office operates on four main principles:

  • Confidentiality:The ombudsman does not disclose the identity of visitors or the details of conversations, except in cases of imminent risk of serious harm.
  • Impartiality (Neutrality):The ombudsman has no stake in the outcome and does not act as an advocate for any party, but rather for a fair process.
  • Informality:The office acts as an informal resource and does not participate in formal, on-the-record investigations or disciplinary processes.
  • Independence:The office operates independently of standard administrative structures and usually reports directly to the highest level of the institution (e.g., President or Provost).

Primary Responsibilities

  • Conflict Resolution & Mediation:Assisting in mediating disputes between parties to reach amicable, “win-win” solutions.
  • Complaints Handling:Receiving and reviewing complaints regarding unfair treatment, academic issues (e.g., grade disputes, academic integrity), or administrative matters.
  • Providing Options & Coaching:Helping “visitors” (those seeking help) explore options, understand relevant policies/procedures, and develop strategies to resolve issues themselves.
  • Systemic Change Agent:Identifying patterns in complaints, trends, and systemic problems, and advising the administration on policy improvements.
  • Referrals:Directing individuals to appropriate formal channels (e.g., Human Resources, Title IX office) when necessary.
  • Reporting:Submitting periodic, non-confidential reports on trend data to university leadership.

What an Ombudsman Does NOT Do

  • Act as an Advocate:They do not represent the student or the university.
  • Give Legal Advice:They are not attorneys.
  • Make Binding Decisions:They cannot force a university office to change a decision, change grades, or set aside policies.
  • Receive Official “Notice”:Telling the ombudsman is not legally considered “notice” to the university (e.g., for harassment allegations).
  • Maintain Records:They typically do not keep permanent, identifying records of visitors.

Profile and Qualifications

  • Background:Often a seasoned faculty member, former administrator, or individual with expertise in mediation, law, or conflict management.
  • Key Skills:Active listening, high emotional intelligence, impartiality, and strong analytical abilities.
  • Position:The role is often part-time,, or it may be a full-time position in larger institutions.
